Keeping track of stock: optimising stock-taking

Preparing counting ranges

Demarcate storage areas, define responsibilities and clearly regulate the movement of goods during the stock-take. Clear labelling and well-organised storage locations make it easier to carry out a complete stock-take.

Identifying goods and recording quantities

Identify storage locations and items by scanning, count available stock and record the figures directly on the mobile device. Damaged goods or unclear allocations are also documented.

Check for discrepancies and finalise the results

Discrepancies are identified immediately after data entry; if necessary, an automatic request for a recount is triggered – ensuring accurate results without any data gaps.

Reliable stock data brings clarity to the warehouse

A stock-taking exercise involves recording a company’s actual assets and liabilities. In the warehouse, the focus is on the physical stock-taking of goods: items are identified and quantities determined by counting, weighing or measuring. A comparison with the recorded stock levels reveals where discrepancies exist.

To ensure meaningful results, clearly defined counting areas, unambiguous units of measurement and a standardised procedure for handling stock movements are required. Partially opened packaging, returns and restricted stock must also be taken into account. This helps to prevent goods from being overlooked or counted more than once.

Mobile devices simplify the stock-taking process: items can be identified by scanning, quantities entered directly and any anomalies documented on the spot. With the right software, photos of damage or additional notes can be linked to the relevant item. This ensures that all information is clearly available for later review.

Identify quickly

Enter items and stock locations quickly

High-performance barcode scanners read a wide variety of codes quickly and reliably – even when labels are damaged, through transparent packaging film or in poor lighting conditions. This reduces the need for repeated scanning attempts and speeds up stock-taking.

Counting clearly

Display information clearly, enter quantities easily

Large displays clearly show items, units of measure and counting ranges. Easily accessible buttons or touchscreens that can be operated whilst wearing gloves make it easier to enter quantities. This helps to ensure that counting is carried out with full concentration and reduces the risk of confusion between individual items, cartons and other packaging units.

Stays operational for longer

Powerful battery performance for longer counting sessions

Long battery life minimises the need for recharging, even during extensive stock-taking exercises. Devices with a hot-swap function allow the battery to be replaced whilst the device is in use – without interrupting the application.

From the initial idea to the finished solution

As specialists in auto-ID and mobile computing, we combine decades of innovative strength with personalised support – for solutions that are perfectly tailored to your needs.
Counting without being influenced

Record stock levels without a specified target quantity

In a blind count, the expected stock levels are hidden. The team records the actual quantities present without referring to the system stock levels. This function can be used with suitable stock-taking software for both connected and offline stock-taking.

To document clearly

Take photographs of any damage directly at the storage location

High-quality cameras in modern mobile computers capture detailed images of any damage and the condition of the goods. Using the appropriate app, the photos are linked directly to the item and annotated. This makes assessment easier and reduces the need for follow-up enquiries.

Record on an ongoing basis

Supporting continuous stock-taking in day-to-day warehouse operations

Counting tasks generated automatically by the WMS – for example, when stock levels are low or as part of cyclical stock-taking – are available directly on the mobile computer. The team records the quantities at the storage location and reports the results back immediately.

The project went exactly to plan. The requirements were clearly and sufficiently defined. Barcotec delivered on all its commitments. The change was well prepared internally, so we received very positive feedback from our colleagues.
